Filing the HVUT across a fleet

Fleet filing is the same Heavy Vehicle Use Tax as a single truck, just multiplied — and that is exactly where it gets fiddly. Vehicles enter and leave service at different times, some run too few miles to owe tax, and weight categories vary across the yard. A fleet files a single Form 2290 under its EIN covering all taxable trucks. The accepted return yields one stamped Schedule 1 listing every Vehicle Identification Number — a single proof of payment for the whole fleet.

Mixed first-use months

Fleets rarely add trucks all at once. Each vehicle’s tax is prorated from its own first-use month, and they are reported together. A truck that joined in October is taxed for fewer months than one running since July.

Suspended and low-mileage units

Trucks expected to run 5,000 miles or less (7,500 for agricultural use) are reported as suspended in Category W. They go on the same return with no tax due unless a unit later crosses its mileage limit.

  • Reconcile your roster first

    Flag the units expected to run 5,000 miles or less (7,500 agricultural) as suspended Category W so you do not overpay.

  • Apply proration per vehicle

    Each truck is taxed from its own first-use month, not the fleet’s. Mid-period additions owe less than full-year units.

  • Verify every VIN

    One wrong character can fail a DMV match later. Check VINs up front so the Schedule 1 is right for all units.
