Your Form 2290 Filing Checklist

Filing Form 2290 goes fast when everything is in front of you before you start. Gather these five things first and the whole return takes minutes. Print this page or keep it open in a second tab as you file.

1. Your Employer Identification Number (EIN)

The IRS requires an EIN on Form 2290 and does not accept a Social Security Number, even for a single truck. If you do not have one yet, apply directly with the IRS, and apply early: a brand new EIN can take about two weeks to become active in the e-file system. The business name you use must match the name the IRS has for that EIN, because a mismatch is the number one cause of a rejected return.

2. Your Vehicle Identification Number (VIN)

Have the exact VIN for each truck, all seventeen characters. One wrong character is the most common reason a Schedule 1 has to be corrected later. Read it off the title or the door jamb rather than from memory. If a typo does slip through, VIN corrections on Consulics returns are free.

3. Your taxable gross weight

This is the truck fully equipped, plus the trailer it customarily pulls, plus the heaviest load it carries. It sets your weight category, from A through V, and therefore your tax. If you are not sure of the number, the weight category finder below does the lookup for you.

4. Your first used month

This is the month the truck first ran on public highways during the tax period, which runs July 1 to June 30. A truck in service at the start of the period is reported for July, and the return for that period is due by August 31. A truck first used later in the period is prorated from its first used month.

5. How you will pay the tax

Decide how you will pay any Heavy Vehicle Use Tax due: IRS direct debit from your bank account, the Electronic Federal Tax Payment System, a debit or credit card, or a check or money order. Have your bank routing and account numbers ready if you plan to pay by debit.

The five item checklist

  • Active EIN, matched to your legal business name.
  • Exact seventeen character VIN for each vehicle.
  • Taxable gross weight and category.
  • First used month for the period.
  • Payment method and bank details if paying by debit.
