What Exactly Is an IRS Name Control?
An IRS Name Control is a 4-character alphanumeric code derived from your legal entity name. When the IRS assigns your EIN, its mainframe generates this code according to rigid mathematical formulas defined in IRS Publication 4164.
The rules differ based on business entity structure:
- Corporations and LLCs taxed as Corporations: The Name Control is typically the first four alpha characters of the corporate name. For example, "APEX FREIGHT INC" has a Name Control of "APEX". "THE CARGO GROUP LLC" drops "THE" and becomes "CARG".
- Partnerships: The Name Control is derived from the first individual partner's legal surname, or the first four characters of the partnership name if trade-styled. For example, "SMITH & JONES TRUCKING" becomes "SMIT".
- Sole Proprietorships: The Name Control is ALWAYS derived from the owner's legal last name—never the DBA or trade name! If John Doe operates "Doe Transport Logistics", the IRS Name Control is "DOE" (padded with a trailing space as "DOE ").
- Special Characters and Punctuation: Periods, commas, apostrophes, hyphens, and ampersands are ignored or handled with strict character truncation rules.
How to Find Your Official Name Control Using Letter CP575 or 147C
If your return was rejected, do not guess your Name Control. Instead, verify your exact legal entity name as registered in IRS records. Two primary documents provide authoritative proof:
- Locate IRS Letter CP575: This is the original confirmation notice the IRS mailed or emailed when your EIN was first assigned. The name appearing on the top address block—specifically the line immediately preceding the entity's mailing address—is your official legal name.
- Request an IRS Letter 147C (EIN Verification Letter): If you cannot find your CP575, call the IRS Business & Specialty Tax Line at (800) 829-4933. Request a Letter 147C. The IRS agent will confirm your legal name over the phone and can fax or mail the letter to you immediately.
- Examine the Legal Name vs. Trade Name (DBA): A very common error is entering a trade name ("Swift Delivery") when the IRS profile is registered under the owner's personal name or corporate holding name ("Smith Logistics LLC"). Always use the primary legal name.
- Verify EIN Age: If your EIN was created within the last 10 to 14 business days, the MeF database may not have indexed your new record yet. Wait until day 15 or call the IRS to confirm the profile is active.
